How to update live menu prices without causing confusion

Separate digital menu price updates into preparation, review, and publication. Build a practical process for old lists, portions, and team communication.

4 minute read

Changing a price may take no longer than editing a few fields in the management panel. But if the customer menu, the list used by staff, and other price displays at the business remain different, staff will need to explain the discrepancies during service. A sound update routine clarifies which products a change covers and when it takes effect before focusing on the numbers themselves. That way, the team can work from the same information.

Remove ambiguity from the change list

Instead of an instruction such as ‘apply new prices to the coffees,’ prepare a list with columns for product, size, current price, and new price. If the same drink has hot and cold versions or different sizes, identify each one explicitly. The employee authorized to update the menu should not have to make pricing decisions on the business’s behalf.

Add the effective time and the person who approved the list. Separate preparation from publication so a future price does not accidentally appear on today’s customer screen. Do not assume the system offers automatic scheduling; the responsible person should publish at the appropriate time using the available workflow. If prices vary between branches, separate the change files by branch name instead of leaving staff to infer where each amount applies from one list.

Check neighboring fields in the draft too

When editing a price, read it together with the product name, portion, and category. It is easy to update the wrong line when similar items appear next to one another. Check whether the price is also written in a description or product image. Keeping the same information in several places creates copies that can be forgotten during future changes.

Where possible, keep the price in the product’s price field and portion information in a clear product or option name. If you need to remove an amount from a description, reread the text to make sure it still makes sense. Include any price-related wording in other languages within the scope of the update as well.

Focus the second review on what changed

Give the reviewer the approved change list along with the new menu. This prevents them from having to assess every price from memory. Ask them to pay particular attention to similar-looking numbers, different portions, and whether an old price remains in another field.

CheckExpected result
Product and portion matchThe new amount applies to the correct serving of the correct product.
Scope of changesNo product outside the list was changed accidentally.
Other text fieldsNo description still displays the old amount.
Customer viewThe published price is readable on a phone.

Coordinate publication with the service team

Tell the service lead when the price update has taken place and make sure it matches the other current lists the business uses. Orvunai manages menu content; do not assume it automatically changes prices in the business’s register or other systems. Each system needs its own assigned responsibility and update step.

After publication, open the menu using the actual QR code on a table. Looking only at the amount in the management panel is not enough. If necessary, refresh the page when comparing a browser tab left open earlier with a newly opened menu. If the old value remains on the customer screen, check that the link opens the correct menu and that publication is complete.

Address other places that still show the old price

Printed inserts, social media images, the PDF on a webpage, and promotional cards on tables may show different prices. Do not limit the update plan to the digital menu. Review these materials under the business’s control one by one, and update them or make it clear that they are no longer current.

At the end, save the approved list and publication time. This makes it easier to see what changed if a question about an amount arises later. If you discover a mistake, correct it through the same preparation and review process; making repeated unrecorded edits makes it harder for the team to know which price applies.
