Design a route to staff for unknown information in AI menus

Plan how guests reach your service team when a menu assistant cannot answer recipe, preparation or special-request questions. Define ownership and updates.

4 minute read

The menu may not contain an answer to every guest question. A sauce's ingredients that day, a special preparation request or an unrecorded serving detail may require team verification. At that point, the assistant should direct guests to the right person instead of filling the gap with a guess. A good transition depends on clear digital wording and a clear working process at the table.

Distinguish a missing record from a negative answer

An ingredient not being mentioned in a product description does not prove it is unused. Similarly, an empty nutrition field does not mean its value is zero. The assistant's response should reflect how much information the source contains. When the business notices missing content, look for a way to verify the right information instead of making the sentence more definite.

Orvunai's menu assistant relies on recorded menu data and takes an approach of directing guests to the business's team for allergies, medical requirements or unknown ingredients. This boundary should not be interpreted as a system failure. Clearly identifying the information source instead of giving a false assurance helps guests choose the correct next step.

Tell guests specifically what to do next

'I don't know' states an information limit but does not explain the next step on its own. Wording such as 'This detail is not in the menu record; please ask our service team to verify it' provides a more complete transition. Use table service if that is your business's process, or adapt the guidance to a different arrangement. Do not imply that live support or a staff-call feature exists when it does not.

If the digital panel does not notify staff automatically, guests should understand that clearly. A referral message is not confirmation that an employee has accepted the task. The text should ask guests to check with the team rather than say 'I asked the team'. This small distinction prevents a guest waiting at a table from incorrectly assuming an answer is already on its way.

Give staff a clear route to information

Floor staff may not need to memorize every recipe detail, but they should know whom to ask. You could assign ingredient questions to the kitchen lead, daily availability to the service lead and menu-record corrections to the editor. One person may hold several roles in a small business; naming the responsibilities still reduces uncertainty during busy hours.

This work does not create a safety or suitability certificate; it organizes the business's communication of information. Staff should not give definite answers about details they cannot verify. In particular, do not assume that an assistant or short menu description resolves personal medical requirements. Pass the context of the guest's question to the appropriate person and share verified information clearly.

Turn repeated questions into content improvements

Repeatedly receiving the same question about a product may indicate an insufficient description. Note the question's essence without collecting personal details. If the business verifies the answer and it can serve as general menu information, add it to the relevant product. The next guest then sees clearer content in the ordinary menu or the recorded information the assistant provides. Do not turn every special request into a permanent product feature; some answers apply only to a particular service.

After an update, recheck the guest link and assistant response. Look for old descriptions remaining in translations or promotional copy. You can add the change to the shift notes so staff have access to the same information. Digital responses and explanations at the table drawing on the same source provide a practical indication that the transition process is complete.
